Use SquadMail (an app that allows you to share your email folders across all clients) to eliminate CCs and forwards? It’s been great for project and department management in our team. if you want to check it out!

One thing that I found particularly useful is to re-orient that way you think about it. My “day-job” is in an email-heavy organisation. And this method still works for me, and has increased my productivity and efficiency, as well as that of my team.

Check your emails twice per day and *that’s it*. Do the same with your voicemails. Stagger this so you are not doing it first thing and getting distracted. So, I start work at 7 am, check my emails at 9 or 10. Then I do it again at 2, knowing I finish at 3 pm.

If I get short-notice meeting invitations by email (always), I decline them unless they are of vital import. Let’s be honest, few of them are. By declining them, they are always moved to a more suitable place.

Additionally, not being on email ALL the time results in:
    – people’s expectations of your response aligning with when you can actually do so
    – avoidance of pop-ups that distract you from everything else
    – not relying on email for immediate answers… you find yourself phoning people instead
    – greater productivity.

    Brilliant, right?
